Admin Guide

How to walk through the resources

Two visuals for administrators: a step-by-step roadmap of the whole process, and a decision map for the moment you are in. Each step names who should lead.

The lead named on each step is the recommended owner — adjust to fit your site's team. The process stays the same even when roles are shared.

The roadmap: six steps, in order

The common process from first concern to formal review. Most students should never need step 6.

  1. Notice the pattern early

Lead: Teacher or attendance clerk flags it; site administrator owns the list

A student's absences or tardies start to add up, or something changes.

  2. Hear the student and family first

Lead: Trusted adult, counselor, or community liaison (chosen for relationship, not title)

Before assuming why — especially when the family is not yet convinced attendance is vital.

  3. Name the barrier

Lead: Case lead with the outreach team; administrator confirms the barrier is evidence-based

You have heard the story and need to name what is actually getting in the way. Unknown is a valid status.

  4. Match and start the intervention

Lead: Case lead builds the plan; administrator approves dosage and owner

The barrier is named (or honestly unknown) and the team is choosing what to try.

  5. Monitor in short cycles

Lead: Case lead tracks evidence; outreach team reviews at the weekly huddle

The intervention is running. Review every 10 instructional days — adjust, intensify, or step down.

  6. Convene the team and escalate only when needed

Lead: Site administrator convenes SST/MTSS and SART; district office supports SARB

Site-level intervention has been tried with fidelity and the pattern continues.
